Please read before you register
Course Policies & Privacy
We want every student to have a clear, fair and well-organised learning experience. Please read the following policies before registering for a course. Students are asked to confirm that they have read and accepted these policies during registration.
Registration, payment & refunds
Registration & seat confirmation
Submitting a registration form does not automatically confirm a seat. A seat is confirmed once the required fee or first agreed instalment has been received and confirmation has been issued by German with Tayyaba.
- Seats are subject to availability and allocated on a first-confirmed basis.
- For courses above A1, a placement assessment may be required to ensure the selected level is appropriate.
- Students are responsible for providing correct contact and registration information.
- For students under 18, registration and acceptance of the course policies must be completed or approved by a parent or legal guardian.
Payment
Course fees and payment deadlines are communicated before enrolment. Payment must be made by the stated deadline to confirm or retain a seat.
- Where instalments are offered, they are a payment arrangement for the complete course fee — not a monthly subscription or pay-per-class arrangement.
- Missing classes or discontinuing attendance does not automatically cancel an agreed payment obligation.
- Discounts or fee benefits apply only according to the conditions announced for that course and cannot be combined unless specifically stated.
- Students should retain their payment receipt or transaction record.
Refunds, Withdrawals & Course Transfers
At German with Tayyaba, we understand that circumstances can change. Our refund and transfer policy is designed to be fair to students while respecting the time, preparation and commitments involved in conducting a course.
1. Before the Course Begins
If you wish to withdraw before your course begins, please submit your request in writing. Refund requests will be reviewed individually, taking into account the circumstances and any conditions communicated at enrolment.
2. Withdrawal Within the First 10 Working Days
Students who are unable to continue due to changes in work schedules, personal commitments or other circumstances may request a partial refund or course transfer within the first 10 working days.
- Option A: Partial Refund: The cost of all scheduled classes up to the date we receive your written withdrawal request, including classes missed, and an administrative charge of 15% of the actual course fee paid will be deducted. The remaining amount will be refunded.
- Option B: Course Transfer: Students may request to transfer their unused course fee to a future batch. The cost of scheduled classes up to the withdrawal date will be deducted, and no additional administrative charges will apply. The remaining amount will be credited towards a future course, subject to availability. Course credit is valid for six months from the date of withdrawal and cannot be exchanged for cash.
3. Withdrawal After 10 Working Days
After the first 10 working days, course fees are normally non-refundable and non-transferable if a student is unable to continue because of personal circumstances, work or study commitments, travel, missed classes or technical difficulties on their side. Genuine exceptional circumstances may be considered individually.
4. Early-Bird and Discounted Fees
All refund and transfer calculations are based on the actual fee paid, including any early-bird or promotional discount, rather than the regular course fee.
5. Refund Processing
All withdrawal requests must be submitted in writing. Approved refunds will be transferred to the student’s nominated bank account by the end of the month in which the refund is approved. A breakdown of deductions and the final refund amount will be communicated before processing.
6. Course Cancellation by German with Tayyaba
If we cancel a course before it begins, students will receive a full refund or may choose to transfer their payment to another suitable course. If a course is permanently discontinued after it has started, the unused portion of the fee will be refunded or adjusted towards another course.
7. Important Information
Students are encouraged to review their availability, course schedule and learning requirements carefully before enrolling. Any exceptions to this policy are considered individually and are not guaranteed. This policy does not limit any rights or remedies available under applicable law.
How the refund would work (Example: A student withdraws after 7 working days)
Based on a 60-day course with an early-bird fee of PKR 40,000.
- Fee paid: PKR 40,000
- 7 scheduled classes: − PKR 4,667
- 15% administrative charge: − PKR 6,000
- Cash refund: PKR 29,333
- Alternative course credit: PKR 35,333
Voluntary Course Freeze Policy
At German with Tayyaba, we understand that personal circumstances, work commitments or unexpected changes may sometimes prevent students from continuing their studies. Students may request a temporary course freeze under the following conditions.
1. Request and Approval
A course freeze must be requested in writing. Requests are subject to approval and are not granted automatically. A course may normally be frozen only once per enrolment. The freeze takes effect from the date requested, excluding classes missed by the student.
2. Administrative Charges
The administrative charge is 15% of the course fee paid. The remaining amount is held as credit towards future studies.
3. Credit Validity
Frozen course credit remains valid for six months from the approved freeze date. Students must request re-enrolment before the credit expires. Extensions may be considered in exceptional circumstances and must be approved in writing.
4. Resuming Studies
Students may resume in an available batch, subject to seat availability and academic suitability. Placement in the same batch, schedule or at the exact point where studies were paused cannot be guaranteed. Any difference between the frozen credit and the applicable course fee must be paid before re-enrolment.
5. Important Conditions
A course freeze is not a refund. Requests for monetary refunds are governed by our separate Refund Policy. Frozen credit cannot be transferred to another person. Early bird discounts and promotional rates are not automatically extended to future enrolments. Stopping attendance without written approval does not constitute a course freeze. All approved freezes and their financial terms will be confirmed in writing. These conditions are subject to applicable consumer protection laws and any rights available under the original enrolment agreement.
Academic Transfer Policy
At German with Tayyaba, our priority is to help students learn at a level appropriate to their existing knowledge, skills and learning needs. If an instructor identifies significant learning gaps or recommends a change of level, an academic transfer may be offered.
1. Academic Assessment
Academic transfers are based on an instructor’s assessment of the student’s language proficiency, classroom performance and learning needs. The instructor will discuss the recommendation with the student before any transfer is arranged. An academic transfer requires the student’s agreement and is not automatic.
2. Fee Adjustment
When an academic transfer is recommended by the instructor, the fee for teaching days already elapsed in the original course will be deducted proportionately from the amount paid. The remaining balance may be transferred towards the recommended course or reserved as credit for the original course. The standard 15% voluntary course freeze administrative charge will not apply automatically. Any additional administrative charges, if applicable, will be disclosed and agreed upon before the transfer is confirmed. If the new course fee exceeds the available credit, the student must pay the difference.
3. Keeping the Original Course Fee Reserved
Students who wish to return to their original course after completing the recommended level may request to retain their remaining fee credit. In this case, the unused balance of the original course fee will be calculated and confirmed in writing, and the student must pay separately for the recommended course. The reserved credit will be adjusted against the original course when the student returns. The same credit cannot be applied to two courses. The reserved credit will remain valid for six months after completion of the recommended learning plan, unless otherwise agreed in writing.
4. Joining the Recommended Course
Students may join an ongoing course or a new batch, depending on availability and academic suitability. Fees for an ongoing course may be calculated proportionately for the remaining scheduled teaching days. The full fee applies when joining a complete new course, subject to any applicable discounts. Early bird discounts apply only when the stated eligibility and payment conditions are fulfilled.
5. Returning to the Original Course
Students may return to the original level after completing the recommended learning plan, subject to academic readiness and seat availability. The reserved credit will be applied towards the applicable course fee. Any outstanding fee difference must be paid before re-enrolment. Returning to the exact same batch or schedule cannot be guaranteed.
6. Important Conditions
Academic transfers are intended to support learning and are not a guarantee of examination success or promotion to the next level. Any assessment provided free of charge will remain free; no retrospective assessment fee will be imposed. All course changes, payment arrangements and credit balances must be agreed upon and confirmed in writing. If a student declines the recommended academic transfer, their existing enrolment remains subject to the original course terms. These provisions are subject to applicable law and the student’s original enrolment agreement.
Attendance & classes
Attendance
Regular attendance is essential for language learning and for keeping pace with the course. Students are expected to attend classes punctually and participate regularly.
- Students who miss classes remain responsible for covering the work, homework and material they have missed.
- Repeated absence or late arrival may significantly affect progress. German with Tayyaba cannot guarantee that missed learning can be recovered during regular class time.
- Poor attendance, repeated lateness or difficulty keeping up because of missed classes does not automatically entitle a student to transfer to another batch or restart the course.
Missed classes & no-shows
If you are unable to attend a class, please inform the administration at least three hours before the class. In an emergency, please inform us as soon as reasonably possible.
- A class missed without prior notice is treated as a no-show. It is counted as conducted and will not normally be repeated, rescheduled, refunded or adjusted against future classes.
- Genuine emergencies may be considered individually, and reasonable supporting information may be requested where appropriate.
- Where a class is scheduled for only one student, or a group class has only one remaining student, and that student does not attend without prior notice, an additional PKR 1,500 no-show fee applies, as the teacher’s time has been reserved and the class cannot proceed in the student’s absence.
- Students arriving more than 15 minutes late without prior notice may be marked absent. The teacher is not required to repeat missed content or extend the class beyond its scheduled finishing time.
- After two no-shows, the student may receive a written warning. Continued no-shows, repeated lateness or failure to communicate may result in a review of the student’s continued enrolment.
- Transfers to another batch or course are not provided solely because of poor attendance, repeated lateness, missed classes or inability to keep up as a result of missed learning. Reasonable exceptions may be approved by the administration in genuine circumstances — an exception in one case does not automatically apply to other cases.
Course schedule & timing changes
Course dates and timings are announced before registration. A timing change requested by an individual student cannot be guaranteed, particularly where other students are enrolled in the same batch.
- Where possible, German with Tayyaba will continue with the originally announced schedule unless a change is reasonably necessary.
- A class may occasionally need to be rescheduled because of teacher illness, technical problems, public holidays, emergencies or circumstances beyond our reasonable control. Students will be informed as early as reasonably possible.
- If German with Tayyaba cancels a scheduled class, it will normally be rescheduled or otherwise made up.
- Before a course begins, German with Tayyaba may occasionally need to postpone, merge or cancel a batch for academic, enrolment or operational reasons. Affected students will be informed and offered an appropriate alternative or refund where applicable.
Online class requirements
Our online courses are interactive classes rather than lecture-only sessions.
- Students should join through a laptop or computer wherever possible. A tablet may also be used, but a mobile phone is not recommended for regular classes because digital learning tools and interactive activities are frequently used.
- Students should have a working camera, microphone and reliable internet connection. Camera and microphone participation may be required for speaking practice, pronunciation work, pair activities and other interactive tasks.
- Students are responsible for their own internet connection, electricity, device and other equipment required to attend the class. Backup internet or electricity is encouraged where possible.
- Classes missed because of internet, electricity or device problems on the student’s side are treated as student absences and are not normally rescheduled.
- If a substantial part of a class cannot be delivered because of a technical problem on the institute’s side, German with Tayyaba will arrange an appropriate make-up or alternative.
Materials, exams & assessments
Recordings & materials
Regular classes are not automatically recorded, and students should not rely on recordings as a substitute for attendance.
- Students may not record, photograph, screen-record, reproduce, share, publish or distribute classes or other participants without permission.
- Course materials supplied directly by German with Tayyaba are for the registered student’s personal learning use and may not be reproduced, sold, published or distributed without permission.
- Books, worksheets, websites and other third-party resources remain subject to the copyright and terms of their respective publishers or owners.
- German with Tayyaba may use digital learning platforms and third-party educational tools as part of the course.
Course enrolment & official exams
Enrolment in a German with Tayyaba course means enrolment in the language course only — it does not mean the student is registered for any official German-language examination.
- Students who wish to take an official examination must register separately with the relevant examination provider or authorised examination centre, and follow their registration requirements, deadlines and fee structure.
- Any official examination fee is separate from the German with Tayyaba course fee unless specifically stated otherwise.
Observation & assessment sessions
A 45-minute observation session in an ongoing course, or a placement/assessment session, may be booked for PKR 1,000.
- This PKR 1,000 fee will be adjusted against the course fee if the student enrols in the nearest available suitable course.
- An observation or assessment session does not reserve a seat or confirm enrolment — course admission is confirmed separately according to the Registration & Seat Confirmation policy.
- For courses above A1, an assessment may be required to determine the most suitable level.
Communication
How we communicate with you
For clarity and proper record-keeping, important communication relating to registration, payments, refunds, absences, schedule changes or other administrative matters should be made in writing by email.
- Students are responsible for checking the email address and WhatsApp number provided during registration and for informing us if their contact details change.
- Absence notifications should be sent through the designated WhatsApp or email contact rather than through another student or informal third party.
- Important changes concerning a course will be communicated through the contact information provided during registration.
- Students and staff are expected to communicate respectfully. Abusive, threatening, discriminatory or seriously inappropriate behaviour may result in restricted participation or review of enrolment.
- Questions or complaints should be submitted in writing so that they can be properly reviewed and responded to.
German with Tayyaba may update these policies where reasonably necessary. Any material change affecting an existing enrolment will be communicated appropriately and will not retrospectively remove rights already agreed with the student.
